The Development Project Coordinator will support the development team by administering proposals, project contracts and change orders, invoice management, and consultant insurance, assist in assembling business plans, including deal memorandums, investment proposals, and strategic plans. Assist in meeting coordination/scheduling, documenting meeting minutes, and file organization as directed. Development Project Coordinator shall be responsible for organizing department coordination efforts, and act as a departmental liaison with acquisitions, construction, and accounting.
The Development Project Coordinator is expected to conduct herself/himself in a manner consistent with the Company’s Core Values and its Business Ethics, Employee Conduct and Confidentiality policy.
DEVELOPMENT PROJECT COORDINATOR GENERAL RESPONSIBILITIES:
• Support management on due diligence for real estate transactions, entitlement pursuits and closings.
• Maintain files updated regularly inclusive of project information, budgets, fee estimates (building and impact), property taxes, costs, schedule, reports, insurance tracking, and other deliverables needed to identify risk. Track review by development manager and obtain corrections.
• Prepare and coordinate consultant contracts, change orders, reports, memos, check requests, and proposals.
• Organize and process contracts and consultant schedule of values.
• Interdepartmental coordination inclusive of facilitating the flow of information between departments to effectuate decisions on marketing, standards, processes, budgets, schedules and other project-related documentation.
• Assist with purchase orders, coordinate invoice processing for the development department (coding, research and work with accounting department to resolve issues and discrepancies), billing questions and documentation; insuring credit is received for outstanding memos.
• Maintain historical records by scanning and filing documents.
• Protect organization's value by keeping information confidential.
• Perform special projects and duties as needed.
QUALIFICATIONS:
• Bachelor’s Degree and 1-2 years of project management/administration experience or high school diploma and 4-6 years relevant experience
• Experience in construction or real estate development preferred.
• Strong quantitative and MS Excel, Word, Outlook, PowerPoint, Acrobat, and Project skills.
• Sage/Timberline software experience a plus.
• Complex critical thinker and demonstrates strong intellectual curiosity.
• Attention to detail, thoroughness, and time management organization skills.
• Must be a team player, but also a self-starter that can perform with limited direction.
• Ability to communicate effectively (orally and in writing).
• Ability to drive to city or county offices if needed, valid Driver’s License required.
HOURS: Monday – Friday, 8:00 AM – 5:00 PM, with overtime as needed.
Full-time, non-exempt position.
