Job Description

BLACKPINE COMMUNITIES - Project Coordinator

Reports to: Purchasing Manager

Primary Responsibilities

• Contract administration: manage vendor contracts and all associated paperwork

o Track completion of contract documents and ensure contract completion

o Audit contract doc status to ensure completion

o Maintain organized files in Dropbox

o Communicate directly with trades regarding contract status and items needed

o Manage insurance certifications and lien releases

o Create, maintain, and update base contract and primary vendor data in Brix as needed/directed

 

• Project Starts Management

o Order and track plot plan creation as directed

o Cross check job information on plot plans, Brix and start memos

o Maintain and organize all associated files including plot plans, start sequences and memos, budgets, etc.

o Work with sales to record all pre-start options on change orders

o Process purchase orders including options for starts as needed

o Track status of permit applications and all associated documents

 

• Permit Management

o Create and submit permit applications as needed

o Track permit application status

o Issue associated purchase orders and submit to AP for checks as needed

o Communicate directly with building department and utility personnel

o Drive to municipalities, school districts and utility districts as needed to pay fees (employee must provide transportation, will be reimbursed for gas)

Secondary Responsibilities

• Assist with processing approved change orders as needed

• Communicate with vendors to obtain revised base contract pricing for spec or plan changes

• Work directly with vendors to correct or clarify POs

• Work with AP and vendors to revise and create POs as needed for billing

 

Skills Needed

• Advanced Excel, Outlook and general computer skills

• Ability to communicate clearly and professionally via email and phone

• Attention to detail

• Well organized and able to prioritize and follow up on time-sensitive tasks without prompting

• Must have own car that can be used occasionally for trips in the greater Sacramento area; gas will be reimbursed

 

Skills Desired

• Any knowledge of home construction, permits and permitting process, construction plans

• Purchasing background

• Excel wizardry

• Experience in bidding or trade management

• Contract administration experience

• Insurance/lien release experience
